A Quick Wedding Timeline Creation

Planning a wedding involves countless details, and a well-structured timeline is essential for a smooth and stress-free day. As a wedding planner, I know that timing is everything! Here’s how to craft the perfect wedding timeline:

1. Start with the Ceremony Time

The ceremony sets the tone for the day. Work backward and forward from this key moment to build out your schedule. Choose the time that you want to start your ceremony. This will be the best starting point, you can choose in the morning, mid-day, evening, late night. You should never pick a time that works for everyone else because those who truly love you will show up for you.

2. Consider Getting Ready Time

Factor in hair, makeup, and dressing. Plan for 2-4 hours depending on the wedding party size. Having your wedding party do hair and makeup trials to help you get an idea of the amount of time they will need for hair and makeup. Then dressing can be up to 40 minutes to allow for any changes that need to be made, including the men’s boutonnieres. Allow for makeup and hair alterations as well depending on what looks best the day-of.

3. Plan for Photos

Decide if you’re doing a first look, bridals, personal family, etc. Allocate at least 60-120 minutes for portraits and wedding party shots. You can provide a cocktail or social hour for guests at this time frame so people can have something to snack on and drink waiting for you and your family and bridal party to come into the main reception room. The planned photos will be taken but also your photographer will be taking photos at the reception as well.

4. Schedule Travel Time

If your venues are separate, include buffer time for transportation and unexpected delays, such as traffic, miscommunication, etc. You want to account for travel from your get ready spots, if separate from ceremony/reception venue. Allowing for travel time that is reasonable, not too short and not too long.

5. Map Out the Reception Events

Include time for entrances, dinner, speeches, dances, and cake cutting. Work with vendors to ensure smooth transitions. If you have a planner they will handle all of the vendors and what they are supposed to do. Otherwise you want to make sure each vendor knows exactly where to set up and when as well as when they could take down their set ups. Having a planner or a recommended family member to direct people to follow the timeline is the easiest way to relieve the stress from you, as you get to worry about looking good and having a good time knowing your event is going smoothly.

6. Add Breathing Room

Always include extra time for unexpected hiccups. It’s better to have a cushion than to feel rushed! There will be hiccups during your event, it just happens with so many people in one area. But you do not have to worry about feeling stressed to make sure one doesn’t happen, just have back up plans to make sure you can accommodate such problems.
